Job Responsibilities
As a Procurement Admin, you will:
- Assist property management in daily operations and tenant coordination.
- Answer and route tenant and vendor calls, dispatching staff as needed.
- Schedule building maintenance and communicate building policies to tenants.
- Prepare maintenance schedules, job cards, quotations, and invoices.
- Support the maintenance manager by creating and updating documents, spreadsheets, and reports.
- Handle correspondence with tenants, contractors, and property management staff.
- Maintain and update insurance certificates for contractors.
- Coordinate contractor work schedules and communicate with tenants.
- Keep tenant contact lists, emergency information, and access details up to date.
- Organize leases, insurance certificates, contracts, and building-related documents.
- Provide excellent customer service by addressing tenant and vendor inquiries.
- Manage risk and incident reports, ensuring immediate updates.
Qualifications You’ll Need
To excel in this role, you should have:
- Strong organizational skills and a good understanding of office and accounting procedures.
- Excellent computer skills, particularly with MS Office Suite.
- 5–6 years of administrative experience in managing residential and commercial properties.
- Familiarity with facility operations and tenant relations.
- A strong customer service mindset and excellent problem-solving skills.
- The ability to work independently, prioritize tasks, and meet deadlines.
- Knowledge of professional email and phone etiquette.
