Job Responsibilities

As a Procurement Admin, you will:

  • Assist property management in daily operations and tenant coordination.
  • Answer and route tenant and vendor calls, dispatching staff as needed.
  • Schedule building maintenance and communicate building policies to tenants.
  • Prepare maintenance schedules, job cards, quotations, and invoices.
  • Support the maintenance manager by creating and updating documents, spreadsheets, and reports.
  • Handle correspondence with tenants, contractors, and property management staff.
  • Maintain and update insurance certificates for contractors.
  • Coordinate contractor work schedules and communicate with tenants.
  • Keep tenant contact lists, emergency information, and access details up to date.
  • Organize leases, insurance certificates, contracts, and building-related documents.
  • Provide excellent customer service by addressing tenant and vendor inquiries.
  • Manage risk and incident reports, ensuring immediate updates.

Qualifications You’ll Need

To excel in this role, you should have:

  • Strong organizational skills and a good understanding of office and accounting procedures.
  • Excellent computer skills, particularly with MS Office Suite.
  • 5–6 years of administrative experience in managing residential and commercial properties.
  • Familiarity with facility operations and tenant relations.
  • A strong customer service mindset and excellent problem-solving skills.
  • The ability to work independently, prioritize tasks, and meet deadlines.
  • Knowledge of professional email and phone etiquette.
