Administrative Assistant for Property Management Division

We are a leading Real Estate Developer and Property Management Company in Bahrain, seeking an Admin Assistant to join our Maintenance Division. This is a great opportunity for individuals with strong administrative skills and a passion for property management. You’ll be an integral part of our team, helping to ensure smooth day-to-day operations while providing excellent customer service to our tenants and vendors.

Key Responsibilities

  • Assist the Property Management team in daily operations, including managing tenant requests and coordinating maintenance services.
  • Handle phone calls and emails from tenants and vendors, directing them to the right contacts or dispatching personnel as needed.
  • Help tenants and vendors schedule maintenance, provide building information, and communicate procedures.
  • Offer high-quality customer service by maintaining up-to-date tenant contact lists and manuals.
  • Prepare monthly maintenance schedules, job cards, quotes, and invoices.
  • Support the Maintenance Manager by creating and updating forms, spreadsheets, and documents.
  • Manage correspondence with tenants, contractors, and third parties.
  • Maintain insurance certificates for all contractors working on the properties.
  • Coordinate contractor work schedules and communicate with tenants.
  • Assist with general office duties, including ordering supplies and providing phone coverage.
  • Keep accurate records of tenant contact information and emergency procedures.
  • Handle special assignments and maintain an organized filing system for all related documents.

Qualifications

  • 5-6 years of administrative experience in a commercial and residential property environment.
  • Strong understanding of office and accounting procedures.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of facilities operations and property management procedures.
  • Excellent customer service skills and a strong ability to handle multiple tasks efficiently.
  • Ability to work independently and solve problems effectively.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management skills, with the ability to prioritize tasks.
