Job Overview

As an Admin for Maintenance, you will assist the Property Management team with daily operations and tenant relations. You will play a vital role in ensuring smooth maintenance operations and excellent communication with tenants and vendors.

Key Responsibilities

  • Coordinate tenant requests and manage maintenance services efficiently.
  • Answer phone calls from tenants and vendors, routing them to the appropriate contacts.
  • Assist with scheduling building maintenance and ensuring tenants are informed.
  • Provide top-notch customer service and maintain updated tenant contact lists.
  • Prepare monthly maintenance schedules, invoices, job cards, and quotations.
  • Support the Maintenance Manager with forms, spreadsheets, and other administrative tasks.
  • Process correspondence for tenants, contractors, and third parties.
  • Maintain insurance certificates for contractors working at properties.
  • Help schedule contractor work and communicate with tenants to ensure smooth operations.
  • Contribute to overall office tasks, including phone coverage and office supply orders.
  • Manage and update tenant contact details, emergency access information, and risk management policies.
  • Organize and maintain files related to leases, tenants, vendors, and contracts.

Qualifications

  • 5-6 years of experience in administrative roles, preferably in a commercial or residential environment.
  • Strong knowledge of office and accounting procedures.
  • Proficiency in MS Office Suite and other software tools.
  • Familiarity with facilities operations and maintenance processes.
  • Excellent customer service and communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Strong problem-solving skills and attention to detail.
